Administrative Assistant/Customer Service representative

Overview
We are seeking a dynamic and detail-oriented Administrative Assistant/Customer Service Representative to join our team. This role offers an exciting opportunity to support daily office operations while delivering exceptional customer service. The ideal candidate will be energetic, organized, and possess strong communication skills, with a passion for creating a positive experience for clients and colleagues alike. You will play a vital role in maintaining efficient office management, handling administrative tasks, and providing outstanding support to ensure smooth business operations.

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Provide exemplary customer support by addressing inquiries, resolving issues, and maintaining positive client relationships
  • Perform data entry, invoicing and payment processing, tasks using Bookeo booking system to ensure accurate financial records
  • Organize and maintain filing systems, both physical and digital, for easy retrieval of documents
  • Assist with calendar management, scheduling appointments, meetings, and coordinating personal or business-related events
  • Support office management activities including supply ordering, mail handling, and general administrative support
  • Proofread correspondence, reports, and documents to ensure clarity and accuracy using Microsoft Office tools

Qualifications

  • Proven experience in office administration or clerical roles with a strong background in customer service
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) applications
  • Familiarity with basic accounting tasks
  • Excellent organizational skills with the ability to prioritize multiple tasks effectively
  • Strong typing skills and computer literacy to handle data entry and document proofreading accurately
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Demonstrated experience managing multi-line phone systems and front desk operations
  • Exceptional time management skills with the ability to adapt quickly in a fast-paced environment
  • Personal assistant or office management experience is a plus but not required
