This role offers an exciting opportunity to contribute to a vibrant work environment while honing your administrative expertise.Responsibilities<ul><li>Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency.</li><li>Serve as the first point of contact via multi-line phone systems, demonstrating excellent phone etiquette and customer service skills.</li><li>Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace productivity software.</li><li>Handle data entry tasks accurately within spreadsheets and databases such as QuickBooks for bookkeeping purposes.</li><li>Oversee office supplies inventory, organize filing systems, and maintain document confidentiality with meticulous attention to detail.</li><li>Support special projects by providing administrative assistance, including calendar management and personal assistant responsibilities when needed.</li></ul>Requirements<ul><li>Proven experience in office management or administrative roles with a strong background in clerical tasks.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and familiarity with productivity software.</li><li>Excellent computer literacy skills including data entry, file organization, and technical proficiency with office equipment.</li><li>Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Exceptional written and verbal communication skills; bilingual abilities are a plus for diverse client interactions.</li><li>Experience using multi-line phone systems and demonstrating professional phone etiquette.</li><li>Knowledge of QuickBooks or similar bookkeeping software is highly desirable.</li><li>Previous experience as a receptionist or personal assistant is advantageous.</li><li>Ability to manage time effectively while maintaining high standards of accuracy and proofreading.</li></ul>Join us in this vital role where your organizational talents will shine!
