If you thrive in fast-paced settings and excel at multitasking, this opportunity is perfect for you to make a meaningful impact in a vibrant, well-respected, legal organization.Duties<ul><li>Interviewing potential clients for compatibility with the firm and assigning attorney to lead new client engagement.</li><li>Manage client onboarding processes and CRM database.</li><li>Manage daily office operations, including scheduling meetings, maintaining calendars, and coordinating appointments for legal staff.</li><li>Oversee vendor relationships, including managing contracts, negotiating terms, and ensuring timely delivery of office supplies and services.</li><li>Handle bookkeeping and basic accounting tasks using QuickBooks to process invoices, manage client payments, and manage accounts receivable.</li><li>Maintain meticulous filing systems&mdash;both physical and digital&mdash;ensuring confidentiality and easy retrieval of legal documents.</li><li>Oversee human resources functions such as onboarding new employees</li><li>Manage front desk operations with excellent phone etiquette using multi-line phone systems to greet visitors professionally and direct calls efficiently.</li></ul>Experience<ul><li>Proven experience in an office or administrative setting, preferably within a legal environment.</li><li>Demonstrated expertise in office management tools such as QuickBooks, Microsoft 365, CRM software, calendar management software, and multi-line phone systems.</li><li>Strong background in vendor management, supply management, facilities management and bookkeeping.</li><li>Excellent organizational skills with keen attention to detail in filing systems and document management.</li><li>Exceptional communication skills&mdash;both verbal and written&mdash;with a professional demeanor suited for front desk responsibilities and engaging with potential clients via email and telephone.</li><li>Prior clerical or administrative experience in a fast-paced office environment that requires multitasking under pressure.</li><li>Embark on a rewarding career where your leadership fuels the success of our legal operations!
