Legal Office Manager

Duties

  • Interviewing potential clients for compatibility with the firm and assigning attorney to lead new client engagement.
  • Manage client onboarding processes and CRM database.
  • Manage daily office operations, including scheduling meetings, maintaining calendars, and coordinating appointments for legal staff.
  • Oversee vendor relationships, including managing contracts, negotiating terms, and ensuring timely delivery of office supplies and services.
  • Handle bookkeeping and basic accounting tasks using QuickBooks to process invoices, manage client payments, and manage accounts receivable.
  • Maintain meticulous filing systems—both physical and digital—ensuring confidentiality and easy retrieval of legal documents.
  • Oversee human resources functions such as onboarding new employees
  • Manage front desk operations with excellent phone etiquette using multi-line phone systems to greet visitors professionally and direct calls efficiently.

Experience

  • Proven experience in an office or administrative setting, preferably within a legal environment.
  • Demonstrated expertise in office management tools such as QuickBooks, Microsoft 365, CRM software, calendar management software, and multi-line phone systems.
  • Strong background in vendor management, supply management, facilities management and bookkeeping.
  • Excellent organizational skills with keen attention to detail in filing systems and document management.
  • Exceptional communication skills—both verbal and written—with a professional demeanor suited for front desk responsibilities and engaging with potential clients via email and telephone.
  • Prior clerical or administrative experience in a fast-paced office environment that requires multitasking under pressure.

Pay: $50,000.00 - $70,000.00 per year
