Job Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This position offers an exciting opportunity to contribute to a well-organized office environment, support daily operations, and help maintain smooth workflows across departments.Responsibilities<ul><li>Greet visitors warmly, assist with check-in procedures, and direct them to appropriate staff or departments</li><li>Manage multi-line phone systems, screen calls, take messages, and transfer calls accurately using professional phone etiquette</li><li>Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming and outgoing mail</li><li>Perform data entry tasks using Microsoft Office and Google Workspace applications with high accuracy and attention to detail</li><li>Maintain organized filing systems, manage calendars, and support office management activities such as supply inventory and equipment maintenance</li><li>Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking</li><li>Provide customer support by responding promptly to inquiries via phone or email, ensuring excellent service at all times</li></ul>Qualifications<ul><li>Proven office experience with strong clerical skills in a fast-paced environment</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools</li><li>Experience with multi-line phone systems and excellent phone etiquette skills</li><li>Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively</li><li>Familiarity with QuickBooks or other bookkeeping software is a plus</li><li>Prior experience as a receptionist, administrative assistant, or personal assistant is preferred</li><li>Excellent proofreading skills and attention to detail in all written communications</li><li>Ability to handle confidential information discreetly while maintaining professionalism</li></ul>Join us in creating a vibrant workplace where your organizational talents shine!
