Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role serves as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. Responsibilities

  • Greet visitors warmly, assist with check-in procedures, and direct them to appropriate staff or departments
  • Manage multi-line phone systems, screen calls, take messages, and transfer calls accurately using professional phone etiquette
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming and outgoing mail
  • Perform data entry tasks using Microsoft Office and Google Workspace applications with high accuracy and attention to detail
  • Maintain organized filing systems, manage calendars, and support office management activities such as supply inventory and equipment maintenance
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide customer support by responding promptly to inquiries via phone or email, ensuring excellent service at all times

Qualifications

  • Proven office experience with strong clerical skills in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Familiarity with QuickBooks or other bookkeeping software is a plus
  • Prior experience as a receptionist, administrative assistant, or personal assistant is preferred
  • Excellent proofreading skills and attention to detail in all written communications
  • Ability to handle confidential information discreetly while maintaining professionalism
