POSITION TITLE:

JOB DESCRIPTION:


Primary Purpose: To assist in the administration of the human resources affairs of the district in a manner that preserves confidentiality and projects a professional image of the department.


RESPONSIBILITIES:


Major Responsibilities and Duties
  • Receive/route incoming calls, take messages and respond appropriately to requests for information.
  • Greet all visitors courteously, determine their needs, check appointments, and direct or escort them to the proper person.
  • Assist applicants with the employment application process.
  • Respond to requests for employment verifications within 48 hours of receipt.
  • Verify and track I-9 Employment Authorization Forms and supporting documents, including name changes, to ensure compliance with federal law.
  • Print employee ID badges for new hires, position changes, and replacement requests.
  • Process name change requests in all Human Resources and Employee Benefits systems as needed.
  • Assist with the substitute hiring process as needed.
  • Assist with mail and other communications.
  • Assist with document management scanning and maintenance of applicant/employee records.
  • Assist Human Resources and Employee Benefits Staff with clerical duties as needed.
  • Maintain confidentiality.
  • Attendance at work is an essential function.
  • Other duties as assigned by the supervisor or designee.

EXPERIENCE:


QUALIFICATIONS:


Minimum Education/Certification:
  • High school diploma or G.E.D.
  • 15 credited college hours OR three years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
  • Ability to understand and follow oral or written instructions and to maintain records

OTHER INFORMATION:


Equipment Used: Telephone, computer, printer, calculator, copier, fax machine, shredder and scanner.
Working Conditions
Mental/Physical Demands/Environmental Factors:
Heavy lifting and carrying (45 pounds and over), reaching above shoulders, use of fingers, pushing, walking (1-3 hours per day), standing (1-3 hours per day), specific visual requirements, specific hearing requirements (oral/telephone conversations), frequent prolonged/irregular work hours.
