Position Overview
We are currently seeking a highly organized and detail-oriented Accounts Payable Specialist to join our Corporate Office in Boca Raton, FL. This role supports our accounting team in processing financial data, managing vendor records, and assisting with both accounts payable and receivable tasks. The ideal candidate is proactive, dependable, and eager to grow within a collaborative office environment.
What You'll Do<ul><li>
Assist with day-to-day accounts payable functions</li><li>
Provide support to accounts receivable as needed</li><li>
Maintain and update spreadsheets for tracking and reporting (including pivot tables in Excel)</li><li>
Set up and maintain vendor profiles and documentation</li><li>
Monitor and manage multiple AP email inboxes</li><li>
Scan and organize incoming invoices into digital folders</li><li>
Accurately enter invoices with proper GL coding</li><li>
Retrieve and reconcile vendor statements monthly</li><li>
Prepare and issue Release of Liens to vendors</li><li>
Perform other administrative or accounting duties as assigned</li></ul>
Required Qualifications<ul><li>
High school diploma or GED required</li><li>
1&ndash;2 years of accounting, bookkeeping, or administrative experience preferred</li><li>
Strong organizational and time-management skills</li><li>
High attention to detail and accuracy in data entry</li><li>
Ability to work independently and as part of a team</li><li>
Proficient in Microsoft Excel, Outlook, and Adobe PDF</li><li>
Experience with Sage and/or TimberScan is a plus</li><li>
Excellent communication and follow-up skills</li><li>
Professional demeanor and strong work ethic</li><li>
Must be able to work on-site in Boca Raton, FL (this position is not remote or hybrid)</li></ul>

Position Overview

This role supports our accounting team by managing customer billing, processing incoming payments, maintaining accurate account records, and assisting with collections activities as needed. What You'll Do<ul><li>
Manage day-to-day accounts receivable functions, including invoicing and payment application</li><li>
Monitor customer accounts and follow up on past-due balances</li><li>
Reconcile AR transactions and resolve billing discrepancies</li><li>
Maintain accurate customer records and update account information as needed</li><li>
Assist with cash application and posting of payments</li><li>
Prepare aging reports and support month-end close activities</li><li>
Communicate with customers regarding invoices, statements, and payment status</li><li>
Support accounts payable functions as needed</li><li>
Scan, organize, and maintain digital financial records</li><li>
Perform other administrative or accounting duties as assigned</li></ul>
Required Qualifications<ul><li>
High school diploma or GED required</li><li>
