Sisters of the Order of Saint Benedict

<div><p>The Receptionist is responsible for extending Benedictine hospitality to all Sisters, employees, guests, and to all contacts via phone, and provides administrative and clerical support.</p><ul><li>
 Provides a variety of clerical and general office support tasks as needed for Saint Scholastica Convent administration, supervisors, and Sisters.</li><li>
 Receives and processes external and internal phone calls in a professional, hospitable fashion, relaying messages in an accurate and timely fashion.</li><li>
 Monitors and maintains security at main entrance, greets guests in a professional, hospitable fashion, and directs guests to sign in and out according to established procedures.
 </li><li>Monitors and maintains security at employee entrance approving access to appropriate individuals (i.e. employees, vendors) according to established procedures.</li><li>
 Maintains confidentiality of all Reception, Administration, Human Resources, employee, Sister, volunteer, and guest information</li><li>
 Prepares written information for correspondence, reports, projects, and other documents utilizing Microsoft Office Suite.</li><li>
 Maintains a working knowledge of Internet and email applications.
 </li><li>Sources, orders and inventories office supplies for Saint Scholastica Convent in a timely, economic manner.</li><li>
 Maintains a database for Employee Telephone Directory, Sister Directory, and other listings and distributes according to established schedule per schedule and/or instruction.</li><li>
 Prepares and mails correspondence as directed.</li><li>
 Maintains and secures postage system, ordering stamps, and selling stamps to Sisters and employees as needed.</li><li>
 Sorts and distributes incoming mail.</li><li>
 Distributes incoming faxes upon arrival.</li><li>
 Provides employment application forms along with supporting information to applicants.</li><li>
 Assists with making arrangements for meetings and events as instructed.</li><li>
 Coordinates information with transportation driver regarding Sister appointments.</li><li>
 Secures and distributes to Sisters medication refills and other information/items.</li><li>
 Coordinates the maintenance of office equipment (i.e. copier, fax, etc.).</li><li>
 Sells lunch tickets to employees and processes funds from sales according to established procedures.</li><li>
 Maintains work area in an organized and professional manner.</li><li>
 Takes ownership of areas of responsibility and initiates improvements.</li><li>
 Serves as a positive role model for the organization by utilizing effective communication and encouraging team work through collaborative and cooperative interactions with all employees, departments and administration.
 </li><li>Follows and supports all policies and procedures as established by the Sisters of the Order of Saint Benedict.</li></ul></div>
