The Receptionist is responsible for extending Benedictine hospitality to all Sisters, employees, guests, and to all contacts via phone, and provides administrative and clerical support.

Provides a variety of clerical and general office support tasks as needed for Saint Scholastica Convent administration, supervisors, and Sisters.

Receives and processes external and internal phone calls in a professional, hospitable fashion, relaying messages in an accurate and timely fashion.

Monitors and maintains security at main entrance, greets guests in a professional, hospitable fashion, and directs guests to sign in and out according to established procedures.
- Monitors and maintains security at employee entrance approving access to appropriate individuals (i.e. employees, vendors) according to established procedures.

Maintains confidentiality of all Reception, Administration, Human Resources, employee, Sister, volunteer, and guest information

Prepares written information for correspondence, reports, projects, and other documents utilizing Microsoft Office Suite.

Maintains a working knowledge of Internet and email applications.
- Sources, orders and inventories office supplies for Saint Scholastica Convent in a timely, economic manner.

Maintains a database for Employee Telephone Directory, Sister Directory, and other listings and distributes according to established schedule per schedule and/or instruction.

Prepares and mails correspondence as directed.

Maintains and secures postage system, ordering stamps, and selling stamps to Sisters and employees as needed.

Sorts and distributes incoming mail.

Distributes incoming faxes upon arrival.

Provides employment application forms along with supporting information to applicants.

Assists with making arrangements for meetings and events as instructed.

Coordinates information with transportation driver regarding Sister appointments.

Secures and distributes to Sisters medication refills and other information/items.

Coordinates the maintenance of office equipment (i.e. copier, fax, etc.).

Sells lunch tickets to employees and processes funds from sales according to established procedures.

Maintains work area in an organized and professional manner.

Takes ownership of areas of responsibility and initiates improvements.

Serves as a positive role model for the organization by utilizing effective communication and encouraging team work through collaborative and cooperative interactions with all employees, departments and administration.
- Follows and supports all policies and procedures as established by the Sisters of the Order of Saint Benedict.
