Job DescriptionWe are seeking a highly organized, detail-oriented Finance &amp; Payroll Manager to oversee payroll, bookkeeping, and financial operations for a growing, high-performing dental practice.This is a key leadership support role responsible for maintaining financial accuracy, ensuring compliance, and delivering clear monthly reporting to the CEO.This position is ideal for someone who thrives in a structured, process-driven environment and can operate independently with minimal oversight.Core Responsibilities Payroll &amp; Employee Support<ul><li>Process payroll accurately and on time</li><li>Manage PTO, sick leave, and Paid Family Leave (PFL) tracking</li><li>Serve as the primary point of contact for employee payroll and benefits questions</li><li>Coordinate benefits administration (health insurance, disability, etc.)</li></ul>Bookkeeping &amp; Financial Management<ul><li>Maintain and reconcile accounts in QuickBooks</li><li>Accurately categorize all expenses and transactions</li><li>Ensure books are clean, organized, and audit-ready</li><li>Coordinate with external CPA as needed</li></ul>Compliance &amp; Oversight<ul><li>Ensure compliance with NY labor laws and payroll regulations</li><li>Maintain proper documentation and financial records</li><li>Assist with retirement plan and benefits compliance when applicable</li></ul>Monthly Financial Reporting (Critical)<ul><li>Prepare and deliver a monthly financial dashboard by the 10th of each month, including:</li><li>Collections and revenue</li><li>Payroll percentage</li><li>Overhead percentage</li><li>Net income</li><li>Cash position</li><li>Accounts receivable aging</li></ul>Work Structure<ul><li>Reports directly to the CEO</li><li>Works in coordination with the Operations Director for employee-related matters</li><li>Operates independently in all financial and payroll functions</li><li>This role is not responsible for managing staff or office operations</li></ul>Qualifications<ul><li>5+ years experience in payroll, bookkeeping, or financial operations</li><li>Strong experience with QuickBooks</li><li>Proven experience running payroll independently</li><li>Knowledge of labor law compliance (NY experience preferred)</li><li>Highly detail-oriented and process-driven</li><li>Excellent written communication skills</li><li>Ability to work independently and maintain confidentiality</li></ul>Preferred:<ul><li>Experience in a dental or healthcare office</li><li>Experience managing both payroll and bookkeeping in a single role</li></ul>Compensation<ul><li>$80,000 &ndash; $95,000 annually (based on experience)</li><li>Flexible structure (full-time, part-time, or contract considered)</li><li>Performance-based increases and long-term growth potential</li></ul>Work EnvironmentWe are a fast-growing, highly organized dental practice focused on:<ul><li>Operational excellence</li><li>Clear structure and accountability</li><li>Strong team culture</li><li>Long-term stability and growth</li></ul>How to ApplyPlease submit your resume along with a brief summary of your experience managing:<ul><li>Payroll</li><li>Bookkeeping</li><li>Monthly financial reporting</li></ul>Pay: $80,000.00 - $95,000.00 per yearBenefits:<ul><li>401(k)</li><li>Flexible schedule</li><li>Health insurance</li><li>Paid time off</li></ul>Application Question(s):<ul><li>Have you independently managed payroll, bookkeeping, and monthly reporting in one role?
