Finance & Payroll Manager (Dental Office | Remote or Hybrid)

Job Description

We are seeking a highly organized, detail-oriented Finance & Payroll Manager to oversee payroll, bookkeeping, and financial operations for a growing, high-performing dental practice.

This is a key leadership support role responsible for maintaining financial accuracy, ensuring compliance, and delivering clear monthly reporting to the CEO.

This position is ideal for someone who thrives in a structured, process-driven environment and can operate independently with minimal oversight.

Core Responsibilities Payroll & Employee Support

  • Process payroll accurately and on time
  • Manage PTO, sick leave, and Paid Family Leave (PFL) tracking
  • Serve as the primary point of contact for employee payroll and benefits questions
  • Coordinate benefits administration (health insurance, disability, etc.)

Bookkeeping & Financial Management

  • Maintain and reconcile accounts in QuickBooks
  • Accurately categorize all expenses and transactions
  • Ensure books are clean, organized, and audit-ready
  • Coordinate with external CPA as needed

Compliance & Oversight

  • Ensure compliance with NY labor laws and payroll regulations
  • Maintain proper documentation and financial records
  • Assist with retirement plan and benefits compliance when applicable

Monthly Financial Reporting (Critical)

  • Prepare and deliver a monthly financial dashboard by the 10th of each month, including:
  • Collections and revenue
  • Payroll percentage
  • Overhead percentage
  • Net income
  • Cash position
  • Accounts receivable aging

Work Structure

  • Reports directly to the CEO
  • Works in coordination with the Operations Director for employee-related matters
  • Operates independently in all financial and payroll functions
  • This role is not responsible for managing staff or office operations

Qualifications

  • 5+ years experience in payroll, bookkeeping, or financial operations
  • Strong experience with QuickBooks
  • Proven experience running payroll independently
  • Knowledge of labor law compliance (NY experience preferred)
  • Highly detail-oriented and process-driven
  • Excellent written communication skills
  • Ability to work independently and maintain confidentiality

Preferred:

  • Experience in a dental or healthcare office
  • Experience managing both payroll and bookkeeping in a single role

Compensation

  • $80,000 – $95,000 annually (based on experience)
  • Flexible structure (full-time, part-time, or contract considered)
