Position OverviewWe are seeking a highly organized, tech-savvy, and detail-oriented Finance Administrative Assistant (Contract) to support financial operations, tax administration, and day-to-day coordination across multiple companies.This role will work closely with leadership and the Finance &amp; Tax Manager to assist with tax filings, IRS communications, financial tracking, and contract administration, while also supporting operational workflows including Upwork contractor management and execution.The ideal candidate is comfortable working in a fast-paced, multi-entity environment, has strong computer skills, basic finance and tax knowledge, and is willing to work late hours and weekends as needed.This is a contract position (1099), not an employee role.Core ResponsibilitiesTax &amp; IRS Support<ul><li>Assist in preparation and organization of tax-related documents across multiple entities.</li><li>Support federal and state tax filing processes.</li><li>Handle IRS correspondence and calls, including follow-ups and issue tracking.</li><li>Maintain organized records of filings, notices, and compliance documentation.</li><li>Assist with tracking deadlines for tax submissions and regulatory requirements.</li></ul>Financial &amp; Administrative Support<ul><li>Support daily financial operations including data entry, tracking expenses, and document management.</li><li>Assist with accounting system updates and financial recordkeeping.</li><li>Organize financial statements, reports, and internal documentation.</li><li>Maintain structured digital filing systems for all finance and tax-related records.</li><li>Assist with budgeting support and basic financial analysis as needed.</li></ul>Contract &amp; Upwork Management<ul><li>Manage and coordinate contracts and freelancers on Upwork.</li><li>Post jobs, review applicants, and assist in contractor selection.</li><li>Track contractor deliverables, timelines, and payments.</li><li>Ensure contract compliance and proper documentation.</li><li>Communicate with freelancers to ensure work quality and deadlines are met.</li></ul>Operations &amp; Coordination<ul><li>Coordinate across multiple companies and entities to ensure smooth workflow.</li><li>Assist with proposal preparation, document formatting, and internal communications.</li><li>Support leadership with administrative and operational tasks as needed.</li><li>Help manage high-volume workload across concurrent projects.</li></ul>QualificationsEducation: Associate or Bachelor&rsquo;s degree in Business, Accounting, Finance, or related field preferredRequired Skills &amp; Experience<ul><li>Strong computer proficiency (Excel, Google Sheets, document management tools).</li><li>Basic understanding of finance, accounting, and tax concepts.</li><li>Experience handling administrative or financial coordination tasks.</li><li>Familiarity with IRS processes or willingness to learn quickly.</li><li>Experience with contractor platforms (preferably Upwork) is a plus.</li></ul>Key Competencies<ul><li>Highly detail-oriented and organized</li><li>Strong communication skills (written and verbal)</li><li>Ability to manage multiple deadlines simultaneously</li><li>Self-starter with ability to learn quickly</li><li>Strong problem-solving and follow-up skills</li><li>Comfortable working independently in a contract role</li></ul>Work Requirements<ul><li>Must be available for late hours and weekend work as needed</li><li>Ability to respond quickly to time-sensitive financial and tax matters</li><li>Comfortable working in a fast-paced, high-demand environment</li><li>Reliable internet connection and workspace required</li></ul>Compensation Structure<ul><li>Contract-based (hourly or fixed monthly retainer)</li><li>Performance-based increases over time</li><li>Opportunity for expanded responsibilities and compensation growth</li></ul>Growth OpportunityStrong performers may have the opportunity to:<ul><li>Take on expanded financial and tax responsibilities</li><li>Transition into a senior finance or operations support role</li><li>Increase compensation based on performance and reliability</li><li>Work directly with executive leadership on strategic initiatives</li></ul>Ideal Candidate Profile<ul><li>Tech-savvy and efficient with systems and tools</li><li>Interested in finance, tax, and business operations</li><li>Comfortable handling administrative + financial hybrid responsibilities</li><li>Reliable, responsive, and able to work flexible hours</li><li>Motivated to grow within a high-performance environment</li></ul>Pay: $23.39 - $32.50 per hourWork Location: Hybrid remote in Wylie, TX 75098
