This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant team.Responsibilities<ul><li>Greet visitors and manage front desk operations with professionalism and warmth</li><li>Answer multi-line phone systems promptly, directing calls accurately and courteously</li><li>Manage calendar appointments, scheduling meetings, and coordinating events efficiently</li><li>Perform data entry, filing, and maintain organized records using digital tools like Google Workspace and Microsoft Office</li><li>Handle clerical tasks such as proofreading documents, managing correspondence, and preparing reports</li><li>Generating invoices and sending billing reminders</li><li>Receive, scan, and upload client tax documents into SmartVault (the firm&rsquo;s document management system)</li><li>Verify that documents are labeled correctly and routed to the correct team member</li><li>Respond to basic client questions regarding office hours, required documents, and billing</li><li>Process payments and issue receipts (if applicable)</li><li>Assist with assembling completed tax return packets</li><li>Provide excellent customer service by assisting clients, vendors, and team members with inquiries and support needs</li></ul>Requirements<ul><li>Proven experience in office administration or clerical roles with strong organizational skills</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications</li><li>Excellent phone etiquette with experience managing multi-line phone systems and front desk operations</li><li>Strong time management skills with the ability to prioritize tasks efficiently</li><li>Previous experience as a receptionist or personal assistant is advantageous, especially in professional office settings</li><li>Demonstrated attention to detail in proofreading, data entry, filing, and record keepingJoin us as an Office Assistant where your proactive attitude and organizational prowess will help create a seamless office environment.
