Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Manage calendar appointments, scheduling meetings, and coordinating events efficiently
  • Perform data entry, filing, and maintain organized records using digital tools like Google Workspace and Microsoft Office
  • Handle clerical tasks such as proofreading documents, managing correspondence, and preparing reports
  • Generating invoices and sending billing reminders
  • Receive, scan, and upload client tax documents into SmartVault (the firm’s document management system)
  • Verify that documents are labeled correctly and routed to the correct team member
  • Respond to basic client questions regarding office hours, required documents, and billing
  • Process payments and issue receipts (if applicable)
  • Assist with assembling completed tax return packets
  • Provide excellent customer service by assisting clients, vendors, and team members with inquiries and support needs

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent phone etiquette with experience managing multi-line phone systems and front desk operations
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Previous experience as a receptionist or personal assistant is advantageous, especially in professional office settings
