Job Overview We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our plastic surgery practice! This paid position offers an exciting opportunity to develop your office management skills, clinical operations and contribute to a professional, fast-paced workplace.Duties<ul><li>Greet visitors warmly, manage front desk operations, and ensure a positive first impression for all guests</li><li>Answer multi-line phone systems promptly and professionally, directing calls accurately and courteously</li><li>Manage appointment scheduling and calendar coordination using CRM and Google Workspace tools</li><li>Perform data entry, filing, and document proofreading to maintain accurate records and support administrative workflows</li><li>Handle incoming and outgoing correspondence, including emails, mailings, and courier services</li><li>Support office management tasks such as supply inventory, equipment maintenance, and organization of common areas</li><li>Assist with clerical activities and vendors communication.</li><li>Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette</li></ul>Skills<ul><li>Proven experience in office administration or clerical roles with strong organizational skills</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications</li><li>Familiarity with multi-line phone systems and professional phone etiquette</li><li>Ability to perform data entry accurately with excellent typing speed and attention to detail</li><li>Experience with QuickBooks or bookkeeping is a plus</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Strong organizational skills with the ability to prioritize tasks and manage time effectively</li><li>Knowledge of office management procedures along with general computer literacy</li><li>Previous experience in customer service or as a receptionist in medical or dental settings is advantageous</li><li>Personal assistant or calendar management experience is beneficial for supporting executive schedules</li></ul>Join us in creating a welcoming atmosphere while supporting our team&rsquo;s operational success!
