This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant team.Responsibilities<ul><li>Greet visitors and clients warmly, managing front desk operations with professionalism and courtesy </li><li>Operate multi-line phone systems, directing calls efficiently and providing excellent customer support </li><li>Manage appointment scheduling and calendar coordination for staff and executives </li><li>Handle data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping </li><li>Maintain organized filing systems, ensuring documents are accurately stored and easily retrievable </li><li>Support office management by overseeing supply inventory, ordering materials as needed, and ensuring a tidy workspace </li><li>Assist with clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail</li></ul>Requirements<ul><li>Proven office experience with strong organizational skills and attention to detail </li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools </li><li>Familiarity with QuickBooks or similar bookkeeping software is a plus </li><li>Excellent phone etiquette with experience managing multi-line phone systems </li><li>Bilingual abilities are highly desirable to support diverse client needs </li><li>Strong typing skills with high accuracy; ability to perform data entry efficiently </li><li>Demonstrated ability to prioritize tasks effectively using time management techniques </li><li>Prior clerical or administrative experience in an office setting preferred; personal assistant experience is a bonus </li><li>Knowledge of office management procedures including filing systems, calendar management, and document proofreading</li></ul>Join us in creating a positive work environment where your organizational talents shine!
