Responsibilities
- Greet visitors and clients warmly, managing front desk operations with professionalism and courtesy
- Operate multi-line phone systems, directing calls efficiently and providing excellent customer support
- Manage appointment scheduling and calendar coordination for staff and executives
- Handle data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
- Maintain organized filing systems, ensuring documents are accurately stored and easily retrievable
- Support office management by overseeing supply inventory, ordering materials as needed, and ensuring a tidy workspace
- Assist with clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or similar bookkeeping software is a plus
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to support diverse client needs
- Strong typing skills with high accuracy; ability to perform data entry efficiently
- Demonstrated ability to prioritize tasks effectively using time management techniques
- Prior clerical or administrative experience in an office setting preferred; personal assistant experience is a bonus
- Knowledge of office management procedures including filing systems, calendar management, and document proofreading
