This role is ideal for someone who thrives in a fast-paced environment, follows processes closely, and takes pride in maintaining accuracy, organization, and responsiveness in their work.Position SummaryThe Client Advocacy Coordinator is an entry-level role responsible for supporting the Client Advocacy Team in managing incoming client communications, processing VA correspondence, and ensuring accurate and timely updates to client files. This role plays a critical part in maintaining organization, responsiveness, and a high level of client service across all case touchpoints.This is an ideal position for someone looking to start a career in veteran advocacy, legal support, or case management operations.Key ResponsibilitiesClient Communications Support<ul><li>Answer inbound calls from existing clients and verify identity</li><li>Provide basic case status updates when available</li><li>Document all client interactions clearly and accurately in internal systems</li><li>Escalate complex or sensitive inquiries to appropriate team members</li></ul>Mail &amp; Document Processing<ul><li>Open, review, and sort incoming VA mail and client correspondence</li><li>Scan and upload documents in client&rsquo;s legal file in Sharepoint</li><li>Check if VA documents (e.g. Rating Decision Letters) have already been pulled from VBMS</li><li>Update Mail board appropriately</li><li>Follow proper document naming conventions and file organization standards</li></ul>Case Support &amp; Coordination <ul><li>Assist with tracking case updates and ensuring files are complete</li><li>Submit internal requests for case status updates when needed</li><li>Support Appeals and Post-Appeals teams with administrative tasks</li><li>Maintain accurate notes and updates across all systems</li></ul>Operational Support<ul><li>Follow all SOPs for mail handling, document processing, and client communication</li><li>Utilize CRM, SharePoint, and RingCentral for daily workflows</li><li>Participate in team trainings and ongoing process improvement initiatives</li><li>Collaborate with team members to ensure smooth workflow and case progression</li></ul>Required Qualiﬁcations<ul><li>High school diploma or equivalent</li><li>Strong attention to detail and organizational skills</li><li>Excellent written and verbal communication skills</li><li>Basic computer proficiency (Microsoft Office, Google Workspace, etc.)</li><li>Ability to multitask and manage time effectively in a fast-paced environment</li><li>Professional and empathetic communication style</li><li>Strong critical thinking and problem-solving skills, and the ability to identify and resolve discrepancies</li></ul>Preferred Qualifications<ul><li>Prior experience in customer service, call center, or administrative support</li><li>Experience working with veterans or in a legal/medical environment</li><li>Familiarity with CRM or task management systems</li></ul>Who You Are<ul><li>You are detail-oriented and highly organized, with the ability to manage tasks, documents, and updates with accuracy and consistency</li><li>You communicate clearly and professionally, both verbally and in writing, and can confidently interact with clients and team members</li><li>You are accountable and reliable, taking ownership of your work and following through without the need for constant oversight</li><li>You are able to work in a fast-paced, structured environment and effectively manage multiple priorities at once</li><li>You are coachable and receptive to feedback, with the ability to quickly implement direction and improve performance</li><li>You follow established processes and SOPs consistently while maintaining quality and efficiency</li><li>You are proactive in identifying issues, asking questions, and ensuring tasks are completed correctly</li><li>You are comfortable learning and working within multiple systems</li><li>You understand the importance of timeliness, accuracy and professionalism when handling client matters</li></ul>Pay: $18.00 per hourBenefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Application Question(s):<ul><li>Why are you interested in this position? </li></ul>Work Location: In person
