GENERAL PURPOSE:The purpose of this position is provide travel, ERP documentation and fleet support for the smooth functioning of Admin.JOB RESPONSIBILITIES &amp; AUTHORITIES:<ul><li>Prepare travel requisition format and feedback form and issue it to all the employees.</li><li>Manage all tasks associated with Travel Desk including:</li><li>Receive demands for air/rail/road travelling for all Business Units as per travel requisition format.</li><li>Coordinate for seat booking/reservation with authorized vendors.</li><li>Coordinate and book accommodation and transport in city/country of visit.</li><li>Receive invoices/bills on completion of visit.</li><li>Acquire feedback and record in data.</li><li>Process the bills of travelling and accommodation.</li><li>Prepare pool car requisition format along with repair and maintenance of entitled cars requisition format and feedback form. Issue these forms to all employees.</li><li>Manage all tasks related to Fleet Management including;</li><li>Receive demands for pool vehicles for all Business Units as per prescribed format.</li><li>Acquire approval of HOD.</li><li>Allocate vehicle and detail driver for requested duty.</li><li>Acquire feedback on completion of duty.</li><li>Receive repair and maintenance requests on prescribed format for entitled cars.</li><li>Coordinate with AT Automobile section for inspection/in-house repair (if possible).</li><li>Coordinate with authorized vendors for repair and maintenance.</li><li>Coordinate with user for availability of vehicle for repair/maintenance.</li><li>Detail driver for sending vehicle to workshop if required.</li><li>Collect vehicle through driver from workshop, handover to user and acquire feedback.</li><li>Record the feedback in data base.</li><li>Managing vehicles tracker services with authorized vendor</li><li>Manage leave/overtime hours of pool drivers.</li><li>Maintain updated list of company fleet with current users name and designation.</li><li>Allocation and retrieval of entitled vehicles.</li><li>Manage fuel cards as per entitlement.</li><li>Manage accidents of fleet vehicles and insurance claims in coordination with FSO and Finance Department.</li><li>Manage disposal of vehicles and acquisition of new vehicles including registration and payment of annual taxes</li><li>Maintain record file of each vehicle</li><li>Manage tasks and administrative aspects of dispatch riders</li><li>Initiate PRs of all administrative services less technical &amp; build out</li><li>Prepare service completion notes of all administrative services except technical &amp; build out</li></ul>Pay: Rs100,000.00 - Rs120,000.00 per monthWork Location: In person
