Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! This paid position is perfect for someone eager to grow their administrative expertise in a fast-paced environment.Duties<ul><li>Operate multi-line phone systems, directing calls efficiently and courteously</li><li>Maintain organized filing systems, both physical and digital, ensuring quick access to important documents</li><li>Perform data entry tasks using Google Workspace applications with accuracy and speed</li><li>Assist with bookkeeping tasks using QuickBooks,and other software including invoicing and expense tracking</li><li>Support calendar management for executives and team members, scheduling appointments and meetings effectively</li><li>Handle clerical duties such as proofreading correspondence, preparing reports, and managing mail distribution</li><li>Provide exceptional customer support by addressing inquiries promptly and professionally</li><li>Coordinate office supplies inventory and place orders to ensure smooth daily operations</li><li>Support office management tasks to improve workflow efficiency and team collaboration</li></ul>Skills<ul><li>Proven experience with office management, clerical work, or administrative support roles</li><li>Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment</li><li>Exceptional phone etiquette with experience managing multi-line phone systems and providing customer service</li><li>Bilingual abilities are a plus for communicating with diverse clients and team members</li><li>Familiarity with QuickBooks for bookkeeping tasks is highly desirable</li><li>Strong typing skills combined with attention to detail for proofreading and document preparation</li><li>Effective time management skills to handle multiple responsibilities efficiently</li><li>Experience as a receptionist or personal assistant is advantageous, especially in medical or dental settings</li><li>Knowledge of office equipment operation such as fax machines, scanners, and printers</li></ul>Join us as an Administrative Assistant where your energy, organization skills, and dedication will make a meaningful impact!
