Executive Assistant to Founder &amp; CEOLocation: Dallas / Arlington, TX &middot; Hybrid (on-site + partial remote) Schedule: Full-Time (30&ndash;40 hours per week) Compensation: $3,500 &ndash; $4,200 per month &middot; Plus Benefits &amp; IncentivesAbout the RoleWe&rsquo;re seeking a highly organized, proactive, and adaptable Executive Assistant to support the Founder &amp; CEO of a growing multi-brand ecosystem &mdash; Tha Alkaline Hour (Retail Wellness), We Make Manufacturing (B2B Production), and Alkaline Records / Avocado Sound Works (Music &amp; Publishing).This role goes beyond administrative support. You&rsquo;ll operate as a trusted partner &mdash; managing the Founder&rsquo;s schedule and communications, coordinating projects and teams, and creating systems that bring clarity and structure across fast-growing operations.You&rsquo;ll help execute key initiatives spanning retail, manufacturing, and creative ventures &mdash; including classes, workshops, community events, and content productions &mdash; while ensuring the Founder&rsquo;s time is focused on strategy, creation, and growth.Key ResponsibilitiesScheduling, Coordination &amp; Communication<ul><li>Manage calendars, meetings, consultations, travel itineraries, and content-day scheduling across all companies.</li></ul><ul><li>Coordinate logistics for events, workshops, and public engagements.</li></ul><ul><li>Prioritize and protect the Founder&rsquo;s time, ensuring high-value focus each day.</li></ul><ul><li>Serve as the primary point of contact between the Founder, vendors, partners, and internal team members.</li></ul><ul><li>Maintain email organization, ensure timely follow-ups, and communicate professionally on the Founder&rsquo;s behalf.</li></ul><ul><li>Prepare meeting notes, agendas, and action plans to ensure accountability and follow-through.</li></ul>Operations, Projects &amp; Administration<ul><li>Oversee onboarding and delegation for VAs, contractors, and creative collaborators.</li></ul><ul><li>Support daily operations at both retail and manufacturing locations &mdash; including vendor communication, basic inventory tracking, and logistics coordination.</li></ul><ul><li>Assist with financial organization, invoices, and expense tracking in QuickBooks or similar tools.</li></ul><ul><li>Maintain organized systems for documents, tasks, and project management (Trello, Notion, or Google Drive).</li></ul><ul><li>Conduct light research to support product development, business strategy, and partnerships.</li></ul>Events, Classes &amp; Community Engagement<ul><li>Help plan and coordinate community classes, workshops, and company events.</li></ul><ul><li>Communicate with venues, vendors, and collaborators to ensure smooth logistics.</li></ul><ul><li>Track RSVP lists, organize event materials, and assist with post-event follow-ups.</li></ul>Reporting, Organization &amp; Anticipation<ul><li>Track progress toward company goals, projects, and key deliverables.</li></ul><ul><li>Provide concise weekly reports outlining priorities, updates, and open items.</li></ul><ul><li>Anticipate the Founder&rsquo;s needs &mdash; identify issues before they arise and offer practical solutions.</li></ul>Qualifications<ul><li>3&ndash;5 years of experience supporting a business owner, executive, or creative entrepreneur.</li></ul><ul><li>Proven ability to manage multiple priorities, projects, and deadlines.</li></ul><ul><li>Excellent communication and organizational skills with attention to detail.</li></ul><ul><li>Experience in operations, retail, event planning, or creative industries is a plus.</li></ul><ul><li>Tech-savvy and comfortable with Google Workspace, QuickBooks, and project management tools.</li></ul><ul><li>Professional, discreet, reliable, and solution-oriented.</li></ul>Tools &amp; PlatformsGoogle Workspace (Docs, Sheets, Drive, Calendar) &middot; QuickBooks Online &middot; Shopify &middot; Trello / Notion &middot; Canva &middot; Mailchimp &middot; Slack / WhatsApp &middot; ZoomWhat Success Looks Like<ul><li>The Founder&rsquo;s calendar, inbox, and priorities run seamlessly.</li></ul><ul><li>Retail, manufacturing, and creative operations stay aligned and on schedule.</li></ul><ul><li>Events and classes are well-organized and executed on brand.</li></ul><ul><li>The Founder spends more time leading and less time managing tasks.</li></ul>Compensation &amp; Benefits<ul><li>Competitive base salary ($3,500&ndash;$4,200/month DOE)</li></ul><ul><li>Health &amp; Wellness Benefits: options or stipend available after onboarding period</li></ul><ul><li>Paid Time Off (PTO): annual paid leave and holidays</li></ul><ul><li>Performance Incentives: bonuses tied to goals, projects, or company growth</li></ul><ul><li>Flexible Hybrid Schedule: mix of on-site coordination and remote work</li></ul><ul><li>Growth Path: opportunity to advance into Operations Manager or Chief of Staff as the company scales</li></ul>Why Join UsYou&rsquo;ll work directly with a visionary Founder driving innovation across wellness, manufacturing, and music.
