Executive Assistant to Founder & CEO

Location: Dallas / Arlington, TX · Hybrid (on-site + partial remote) Schedule: Full-Time (30–40 hours per week) Compensation: $3,500 – $4,200 per month · Plus Benefits & Incentives

About the Role

We’re seeking a highly organized, proactive, and adaptable Executive Assistant to support the Founder & CEO of a growing multi-brand ecosystem — Tha Alkaline Hour (Retail Wellness), We Make Manufacturing (B2B Production), and Alkaline Records / Avocado Sound Works (Music & Publishing).

This role goes beyond administrative support. You’ll operate as a trusted partner — managing the Founder’s schedule and communications, coordinating projects and teams, and creating systems that bring clarity and structure across fast-growing operations.

You’ll help execute key initiatives spanning retail, manufacturing, and creative ventures — including classes, workshops, community events, and content productions — while ensuring the Founder’s time is focused on strategy, creation, and growth.

Key Responsibilities

Scheduling, Coordination & Communication

  • Manage calendars, meetings, consultations, travel itineraries, and content-day scheduling across all companies.
  • Coordinate logistics for events, workshops, and public engagements.
  • Prioritize and protect the Founder’s time, ensuring high-value focus each day.
  • Serve as the primary point of contact between the Founder, vendors, partners, and internal team members.
  • Maintain email organization, ensure timely follow-ups, and communicate professionally on the Founder’s behalf.
  • Prepare meeting notes, agendas, and action plans to ensure accountability and follow-through.

Operations, Projects & Administration

  • Oversee onboarding and delegation for VAs, contractors, and creative collaborators.
  • Support daily operations at both retail and manufacturing locations — including vendor communication, basic inventory tracking, and logistics coordination.
  • Assist with financial organization, invoices, and expense tracking in QuickBooks or similar tools.
  • Maintain organized systems for documents, tasks, and project management (Trello, Notion, or Google Drive).
  • Conduct light research to support product development, business strategy, and partnerships.

Events, Classes & Community Engagement

  • Help plan and coordinate community classes, workshops, and company events.
  • Communicate with venues, vendors, and collaborators to ensure smooth logistics.
  • Track RSVP lists, organize event materials, and assist with post-event follow-ups.

Reporting, Organization & Anticipation

  • Track progress toward company goals, projects, and key deliverables.
  • Provide concise weekly reports outlining priorities, updates, and open items.
  • Anticipate the Founder’s needs — identify issues before they arise and offer practical solutions.

Qualifications

  • 3–5 years of experience supporting a business owner, executive, or creative entrepreneur.
  • Proven ability to manage multiple priorities, projects, and deadlines.
  • Excellent communication and organizational skills with attention to detail.
  • Experience in operations, retail, event planning, or creative industries is a plus.
  • Tech-savvy and comfortable with Google Workspace, QuickBooks, and project management tools.
  • Professional, discreet, reliable, and solution-oriented.
