About usThe Batallan Group is the parent company of facility maintenance &amp; painting companies located throughout the South East United States.Office ManagerDuties:-General &amp; Administrative tasks (Mac friendly)-Work Order Management (Create, Assign &amp; track in Aspire)-Manage incoming opportunities &amp; existing Contracts (in Aspire)-Collaborate on Estimating &amp; Scheduling (with the team &amp; in Aspire)-Inventory-Reporting - to Bookkeeper for invoicing, expense tracking, EOM PO's &amp; HR Director for payroll hours.-Account Reconciliation (in Aspire)-Preparation of bids &amp; proposals for prospective clients.-Participate in networking events, conferences, and other business development activities.- Act as a central POC between departments &amp; clients when necessary.-Phones, mail sorting, welcoming guests.Requirements:- Previous experience as an office manager role required- Proficient in Microsoft Office Suite (Word, Excel, Outlook)- Strong attention to detail and excellent proofreading skills- Familiarity with Aspire software is a plus- Knowledge of industry office procedures is beneficial- Excellent communication and customer service skills- Ability to prioritize tasks effectively- Strong organizational skills-Spanish speaking requiredThis position offers the opportunity to work in a dynamic office environment and gain invaluable experience.
