Job Summary We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our leadership team. Your contributions will help drive efficiency, enhance communication, and ensure the seamless execution of critical tasks.Responsibilities<ul><li>Manage complex calendars using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements with precision.</li><li>Provide high-level administrative support including drafting correspondence, proofreading documents, and transcribing meetings or notes to ensure clarity and accuracy.</li><li>Coordinate a variety of projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion.</li><li>Organize and maintain filing systems&mdash;both digital and physical&mdash;to ensure easy retrieval of important documents.</li><li>Handle incoming calls with professional phone etiquette directing inquiries efficiently and courteously.</li><li>Assist with event planning for meetings, conferences, or company functions by coordinating logistics such as venue setup, catering, materials preparation, and attendee communication.</li><li>Perform data entry tasks with accuracy to update Sales Force as needed.</li><li>Provide personal assistant support to executives by managing personal appointments or errands when required.</li><li>Utilize Office Suite tools like Microsoft Word, Excel, and PowerPoint to prepare presentations and reports that meet professional standards.</li><li>Ensure confidentiality in handling sensitive information while maintaining a high level of organizational efficiency.</li></ul>Qualifications<ul><li>Proven experience as an executive assistant or in a similar administrative role with demonstrated office management skills (minimum of 2 years)</li><li>Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.</li><li>Excellent written and verbal communication skills with proficiency in phone etiquette and customer service best practices.</li><li>Advanced computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with DocuSign for electronic signatures.</li><li>Experience with project coordination and event planning to manage multiple initiatives simultaneously.</li><li>Exceptional typing speed along with proofreading and transcription abilities for accurate document preparation.</li><li>Familiarity with multi-line phone systems and calendar management tools like Microsoft Outlook Calendar is preferred.</li><li>Ability to handle clerical tasks such as filing, data entry, and front desk operations efficiently.</li><li>Previous experience supporting executives or high-level professionals is highly desirable.
