Job Summary
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our leadership team. This energetic role requires a proactive individual who thrives in a fast-paced environment, excels at managing multiple priorities, and demonstrates exceptional attention to detail. As an integral part of our team, you will facilitate smooth daily operations, coordinate projects, and represent the executive office with professionalism and enthusiasm. Your contributions will help drive efficiency, enhance communication, and ensure the seamless execution of critical tasks.

Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide high-level administrative support including drafting correspondence, proofreading documents, and transcribing meetings or notes to ensure clarity and accuracy.
  • Coordinate a variety of projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion.
  • Organize and maintain filing systems—both digital and physical—to ensure easy retrieval of important documents.
  • Handle incoming calls with professional phone etiquette directing inquiries efficiently and courteously.
  • Assist with event planning for meetings, conferences, or company functions by coordinating logistics such as venue setup, catering, materials preparation, and attendee communication.
  • Perform data entry tasks with accuracy to update Sales Force as needed.
  • Provide personal assistant support to executives by managing personal appointments or errands when required.
  • Utilize Office Suite tools like Microsoft Word, Excel, and PowerPoint to prepare presentations and reports that meet professional standards.
  • Ensure confidentiality in handling sensitive information while maintaining a high level of organizational efficiency.

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role with demonstrated office management skills (minimum of 2 years)
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Excellent written and verbal communication skills with proficiency in phone etiquette and customer service best practices.
  • Advanced computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with DocuSign for electronic signatures.
  • Experience with project coordination and event planning to manage multiple initiatives simultaneously.
  • Exceptional typing speed along with proofreading and transcription abilities for accurate document preparation.
  • Familiarity with multi-line phone systems and calendar management tools like Microsoft Outlook Calendar is preferred.
  • Ability to handle clerical tasks such as filing, data entry, and front desk operations efficiently.
