We offer a professional, team-oriented workplace where every role contributes directly to client outcomes.Position SummaryWe are hiring an Administrative Assistant II to serve as the primary point of contact for incoming calls in a high-volume phone environment. This is an entry-level, full-time position centered on answering calls, confirming client appointments, and providing general administrative support. You will use the OOMA Office phone system daily and play a key role in keeping the firm's schedule organized and clients informed. Full training is provided, including on all phone and office systems.Essential Functions<ul><li>Answer and manage a high volume of incoming calls using the law firm phone system</li><li>Confirm, schedule, and reschedule client appointments</li><li>Route calls and take detailed messages for Attorneys, Managing Directors, Engagement Managers, and other staff</li><li>Provide administrative support to Attorneys, Managing Directors, Engagement Managers, and other staff</li><li>Assist with light document preparation and filing as needed</li><li>Maintain break room cleanliness, including unloading the dishwasher and restocking supplies</li><li>Perform general office duties as assigned</li><li>Greet and welcome guests (including clients and business partners)</li></ul>Physical Requirements<ul><li>Ability to sit for extended periods while operating a phone and computer</li><li>Ability to lift and carry up to 15 pounds (e.g., office supplies, mail)</li><li>Ability to speak clearly and hear effectively for phone-based communication</li></ul>Qualifications<ul><li>High school diploma or equivalent (required)</li><li>Strong verbal communication skills and a professional phone presence</li><li>Ability to manage multiple calls and tasks simultaneously in a fast-paced environment</li><li>Proficiency with Mac/Apple computers</li><li>Working knowledge of Gmail, Google Docs, and Microsoft Word</li><li>Comfortable navigating the internet for research and daily tasks</li><li>Detail-oriented with strong organizational skills</li><li>Self-motivated with a positive, team-first attitude</li><li>Ability to maintain a neat, professional appearance consistent with the firm's business casual dress code (reasonable accommodations will be provided for sincerely held religious beliefs, observances, and disabilities)</li><li>Must be authorized to work in the United States</li><li>Prior office, receptionist, or customer service experience is a plus but not required</li></ul>Benefits<ul><li>Health, dental, and vision insurance (after 90-day introductory period)</li><li>Paid time off (1 week, available after 90 days)</li><li>Firm-observed paid holidays (after 90 days)</li><li>Full training provided</li><li>Professional development and advancement opportunities</li><li>Supportive, collaborative office culture</li></ul>Equal Opportunity EmployerThe Law Office of Jason Carr, PLLC is an equal opportunity employer.
