Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! As an energetic and proactive professional, you will manage a variety of administrative tasks, coordinate communication, and ensure the smooth functioning of our office environment. Your strong computer literacy will be key assets in delivering top-tier support and fostering a welcoming atmosphere for clients and colleagues alike.Duties<ul><li>Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems to direct calls efficiently</li><li>Perform data entry, maintain filing systems, and ensure accurate record-keeping using tools like Microsoft Office and Google Workspace</li><li>Manage office supplies inventory, place orders as needed, and oversee general office management tasks to keep the workspace organized</li><li>Provide excellent customer support by addressing inquiries promptly via phone or email, demonstrating proper phone etiquette and professionalism</li><li>Assist with A/R tasks using our industry specific program Field Routes.</li><li>Support clerical duties such as proofreading documents, preparing correspondence, and maintaining confidentiality of sensitive information</li></ul>Qualifications<ul><li>Proven experience in an office environment with strong organizational skills and attention to detail</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications</li><li>Excellent computer literacy including data entry, filing, and document proofreading skills</li><li>Prior experience with multi-line phone systems, front desk responsibilities, or medical/dental receptionist roles is highly desirable</li><li>Bilingual abilities are a significant plus to assist diverse client needs effectively</li><li>Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting</li><li>Demonstrated customer service excellence with professional phone etiquette and interpersonal skills</li><li>Knowledge of bookkeeping software such as QuickBooks or similar tools is advantageous</li><li>Personal assistant or administrative support experience is preferred but not required</li></ul>Join us in this exciting role where your organizational talents and proactive approach will make a real impact!
