Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance efficiency, and provide exceptional customer service. As an energetic and proactive professional, you will manage a variety of administrative tasks, coordinate communication, and ensure the smooth functioning of our office environment. Your strong computer literacy will be key assets in delivering top-tier support and fostering a welcoming atmosphere for clients and colleagues alike.

Duties

  • Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems to direct calls efficiently
  • Perform data entry, maintain filing systems, and ensure accurate record-keeping using tools like Microsoft Office and Google Workspace
  • Manage office supplies inventory, place orders as needed, and oversee general office management tasks to keep the workspace organized
  • Provide excellent customer support by addressing inquiries promptly via phone or email, demonstrating proper phone etiquette and professionalism
  • Assist with A/R tasks using our industry specific program Field Routes.
  • Support clerical duties such as proofreading documents, preparing correspondence, and maintaining confidentiality of sensitive information

Qualifications

  • Proven experience in an office environment with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy including data entry, filing, and document proofreading skills
  • Prior experience with multi-line phone systems, front desk responsibilities, or medical/dental receptionist roles is highly desirable
  • Bilingual abilities are a significant plus to assist diverse client needs effectively
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting
  • Demonstrated customer service excellence with professional phone etiquette and interpersonal skills
  • Knowledge of bookkeeping software such as QuickBooks or similar tools is advantageous
  • Personal assistant or administrative support experience is preferred but not required

Pay: $23.00 - $28.50 per hour
