Job Summary We are seeking a dynamic and organized Secretary/Receptionist to serve as the welcoming face and administrative backbone of our office. This role is vital in creating a positive first impression for visitors and clients while ensuring smooth day-to-day operations. The ideal candidate will be energetic, detail-oriented, and proficient in managing multiple responsibilities with professionalism and enthusiasm. You will handle front desk duties, coordinate appointments, support office management tasks, and provide exceptional customer service to all patients.Responsibilities<ul><li>Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times</li><li>Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette</li><li>Schedule appointments, maintain calendars, and coordinate meetings for staff and management</li><li>Perform data entry, filing, and document proofreading to ensure accuracy and organization of records</li><li>Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping</li><li>Assist with clerical duties such as photocopying, faxing, mailing, and maintaining office supplies to keep the workspace organized and functional</li></ul>Requirements<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools</li><li>Excellent communication skills with the ability to handle phone calls professionally and courteously</li><li>Experience with multi-line phone systems, front desk operations, and office management is essential</li><li>Previous experience as a medical or dental receptionist or personal assistant is advantageous</li><li>Ability to manage time effectively in a fast-paced environment while maintaining a positive attitude</li></ul>Join our team to be an integral part of an energetic workplace that values professionalism, efficiency, and exceptional customer support.
