This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced environment.Duties<ul><li>Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly</li><li>Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette</li><li>Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office</li><li>Perform data entry, filing, and maintain accurate records to support office operations and client information management</li><li>Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document proofreading</li><li>Assist with clerical duties including copying, scanning, and organizing documents while ensuring accuracy and confidentiality</li><li>Provide customer support by addressing inquiries via phone or email, offering helpful information or directing to appropriate departments</li></ul>Requirements<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills</li><li>Experience with multi-line phone systems and excellent phone etiquette</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Prior clerical or administrative experience in a professional setting is preferred</li><li>Strong time management skills with the ability to prioritize tasks efficiently</li><li>Knowledge of office management software such as QuickBooks or bookkeeping experience is a plus</li><li>Excellent proofreading skills to ensure error-free documentation</li><li>Previous experience as a receptionist in medical or dental offices is advantageous but not required</li><li>Personal assistant or calendar management experience will be considered an asset</li></ul>Join us in creating a vibrant workplace where your organizational talents shine!
