Join us to contribute to our mission of fostering an innovative and collaborative workplace while enjoying opportunities for growth and development.Duties<ul><li>Manage and maintain detailed calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.</li><li>Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports with attention to detail.</li><li>Coordinate projects by tracking deadlines, organizing meetings, preparing agendas, and ensuring timely follow-up on action items.</li><li>Handle office management responsibilities such as filing, data entry, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment.</li><li>Assist with bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and basic bookkeeping duties.</li><li>Support event planning efforts by organizing logistics for meetings, conferences, or company events from start to finish.</li><li>Manage multi-line phone systems with professionalism and courtesy while practicing excellent phone etiquette; screen calls and direct inquiries appropriately.</li><li>Facilitate document signing processes using tools like DocuSign and ensure all records are accurately maintained and filed securely.</li><li>Perform transcription tasks and proofread materials to guarantee clarity and accuracy in all communications.</li></ul>Skills<ul><li>Proven experience in executive administrative support or personal assistant roles with strong organizational skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.</li><li>Exceptional office management skills including filing systems, clerical experience, and front desk operations.</li><li>Strong project coordination abilities with the capacity to handle multiple priorities simultaneously.</li><li>Excellent typing speed combined with meticulous proofreading skills for professional document preparation.</li><li>Knowledge of bookkeeping practices using QuickBooks or similar accounting software.</li><li>Effective communication skills demonstrating phone etiquette and customer service excellence across multi-line phone systems.</li><li>Familiarity with office technology such as Microsoft Outlook Calendar, Google Workspace tools, transcription software, and DocuSign for digital signatures.
