Duties

  • Manage and maintain detailed calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports with attention to detail.
  • Coordinate projects by tracking deadlines, organizing meetings, preparing agendas, and ensuring timely follow-up on action items.
  • Handle office management responsibilities such as filing, data entry, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment.
  • Assist with bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and basic bookkeeping duties.
  • Support event planning efforts by organizing logistics for meetings, conferences, or company events from start to finish.
  • Manage multi-line phone systems with professionalism and courtesy while practicing excellent phone etiquette; screen calls and direct inquiries appropriately.
  • Facilitate document signing processes using tools like DocuSign and ensure all records are accurately maintained and filed securely.
  • Perform transcription tasks and proofread materials to guarantee clarity and accuracy in all communications.

Skills

  • Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Exceptional office management skills including filing systems, clerical experience, and front desk operations.
  • Strong project coordination abilities with the capacity to handle multiple priorities simultaneously.
  • Excellent typing speed combined with meticulous proofreading skills for professional document preparation.
  • Knowledge of bookkeeping practices using QuickBooks or similar accounting software.
  • Effective communication skills demonstrating phone etiquette and customer service excellence across multi-line phone systems.
  • Familiarity with office technology such as Microsoft Outlook Calendar, Google Workspace tools, transcription software, and DocuSign for digital signatures.
