We are looking for a highly motivated and organized Administrative Office Assistant to join our team and help manage the day-to-day operations of our growing practice.Job Description: As an Administrative Office Assistant, you will be an essential part of our team, providing administrative support to ensure the smooth operation of the practice. This position is ideal for someone who is detail-oriented, compassionate, and enjoys working in a dynamic environment.Key Responsibilities:<ul><li>Greeting patients professionally both in person and on the phone</li><li>Quickly answering or properly referring to questions and issues</li><li>Optimizing provider schedules and patient satisfaction with efficient scheduling</li><li>Notifying providers of patient arrivals</li><li>Greet and assist clients as they arrive, ensuring a welcoming atmosphere</li><li>Maintain accurate and confidential client records and files</li><li>Process insurance verifications and billing (experience with mental health billing is a plus)</li><li>Manage account balances and collecting payments</li><li>Assist in managing office supplies as well as ensuring the office is well-organized and clean daily</li><li>Prepare and send client communications, including appointment reminders</li><li>Handle incoming and outgoing mail, emails and faxes as well as work on referrals daily</li><li>Support the practice&rsquo;s therapists and administrative team as needed</li><li>Maintain a clean and well-organized workspace and environment</li><li>Ability to report to work timely.
