This paid position offers an exciting opportunity to contribute to our organization&rsquo;s success while developing your professional skill set.Duties<ul><li>Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.</li><li>Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes.</li><li>Coordinate projects by tracking deadlines, preparing reports, and ensuring timely completion of tasks across departments.</li><li>Handle complex phone systems with professionalism, practicing excellent phone etiquette while directing calls and taking messages accurately.</li><li>Organize and maintain filing systems&mdash;both digital and physical&mdash;ensuring easy retrieval of documents and records.</li><li>Assist with event planning for company meetings, conferences, or team-building activities, managing logistics from venue booking to catering arrangements.</li><li>Perform bookkeeping and data entry tasks using QuickBooks or similar accounting software; manage invoices, receipts, and basic bookkeeping duties.</li><li>Support office management functions such as supply ordering, front desk duties, and maintaining a welcoming environment for visitors.</li><li>Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for creating reports, presentations, and spreadsheets as needed.</li><li>Conduct research or gather information for projects; prepare summaries or presentations to aid decision-making processes.</li><li>Use office technology including multi-line phone systems and DocuSign for electronic signatures to streamline workflows efficiently.</li></ul>Experience<ul><li>Proven experience as an executive assistant or in a similar administrative role supporting senior executives in a fast-paced environment.</li><li>Demonstrated proficiency with office management tools such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks, and DocuSign.</li><li>Strong organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously.</li><li>Excellent typing speed combined with transcription skills; keen attention to detail for proofreading documents.</li><li>Experience coordinating events or large meetings from start to finish.</li><li>Familiarity with clerical tasks including filing systems, data entry, customer service interactions, and front desk responsibilities.</li><li>Knowledge of multi-line phone systems and professional phone etiquette essential for representing the organization positively.</li><li>Ability to handle confidential information discreetly while maintaining high levels of professionalism.</li><li>Strong computer literacy skills coupled with organizational abilities that support efficient office operations.
