Executive Assistant/Bilingual Required

Duties

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes.
  • Coordinate projects by tracking deadlines, preparing reports, and ensuring timely completion of tasks across departments.
  • Handle complex phone systems with professionalism, practicing excellent phone etiquette while directing calls and taking messages accurately.
  • Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and records.
  • Assist with event planning for company meetings, conferences, or team-building activities, managing logistics from venue booking to catering arrangements.
  • Perform bookkeeping and data entry tasks using QuickBooks or similar accounting software; manage invoices, receipts, and basic bookkeeping duties.
  • Support office management functions such as supply ordering, front desk duties, and maintaining a welcoming environment for visitors.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for creating reports, presentations, and spreadsheets as needed.
  • Conduct research or gather information for projects; prepare summaries or presentations to aid decision-making processes.
  • Use office technology including multi-line phone systems and DocuSign for electronic signatures to streamline workflows efficiently.

Experience

  • Proven experience as an executive assistant or in a similar administrative role supporting senior executives in a fast-paced environment.
  • Demonstrated proficiency with office management tools such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks, and DocuSign.
  • Strong organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously.
  • Excellent typing speed combined with transcription skills; keen attention to detail for proofreading documents.
  • Experience coordinating events or large meetings from start to finish.
  • Familiarity with clerical tasks including filing systems, data entry, customer service interactions, and front desk responsibilities.
  • Knowledge of multi-line phone systems and professional phone etiquette essential for representing the organization positively.
  • Ability to handle confidential information discreetly while maintaining high levels of professionalism.

Pay: $15.00 - $20.00 per hour
