WE ARE NOT ABLE TO OFFER TRAINING TO SOMEONE FOR THIS POSITION.Responsibilities<ul><li>Oversee daily office operations, including data entry to CRM, invoicing to clients and carriers, follow up communication, coordinating with technicians</li><li>Work alongside other administrative and technician staff, providing training and development opportunities to foster a motivated and organized team environment.</li><li>Handle human resources functions such as payroll processing, employee onboarding, record keeping, and confidentiality of sensitive information.</li><li>Manage bookkeeping tasks using accounting software; maintain accurate financial records including invoicing, billing, and expense tracking.</li><li>Support budgeting efforts by monitoring expenses, preparing financial reports, and assisting with cost control initiatives.</li><li>Facilitate client communication by responding promptly to inquiries, scheduling appointments, and ensuring excellent customer service standards are met.</li><li>Maintain compliance with office policies and procedures while ensuring smooth coordination between departments involved in mitigation and restoration projects.</li><li>Prepare reports related to project progress, financial status, and operational metrics to aid management decision-making.</li></ul>Skills<ul><li>Proven experience in office management or administrative roles within a service-oriented environment.</li><li>Strong experience with Xactimate billing software is a MUST.</li><li>Strong supervisory skills with the ability to lead teams effectively and foster a collaborative workplace culture.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data analysis.</li><li>Familiarity with accounting software such as QuickBooks or similar financial tools; basic bookkeeping knowledge is essential.</li><li>Excellent organizational skills with the ability to manage schedules efficiently and prioritize multiple tasks simultaneously.</li><li>Effective communication skills for interacting with clients, vendors, team members, and executive leadership.</li><li>Experience handling confidential information with discretion and professionalism.</li><li>Knowledge of vendor management processes including negotiations and contract oversight.</li><li>Ability to adapt quickly to changing priorities while maintaining attention to detail in all aspects of office administration.</li></ul>This role offers an exciting opportunity to be at the center of a fast-paced mitigation and restoration company dedicated to delivering outstanding service while fostering a positive work environment built on energy, transparency, and teamwork.
