Responsibilities<ul><li>Manage front desk operations, greeting visitors with professionalism and warmth while maintaining a tidy reception area</li><li>Operate multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette</li><li>Perform data entry tasks with precision using Microsoft Office Suite, Google Workspace, and other office software to update records and maintain databases</li><li>Handle scheduling and calendar management for team members, including setting appointments and coordinating meetings efficiently</li><li>Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping</li><li>Organize files both physically and digitally through effective filing systems ensuring easy retrieval of documents</li><li>Provide exceptional customer support by addressing inquiries via phone or email, resolving issues promptly, and maintaining positive relationships</li><li>Assist with proofreading documents for accuracy and clarity before distribution or submission</li><li>Support office management tasks such as ordering supplies, maintaining equipment, and overseeing general administrative procedures</li></ul>Qualifications<ul><li>Proven experience in office administration or clerical roles with strong organizational skills</li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and basic computer literacy</li><li>Excellent typing speed with high accuracy; familiarity with data entry processes</li><li>Experience handling multi-line phone systems and practicing professional phone etiquette</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Prior experience as a personal assistant is a plus</li><li>Knowledge of bookkeeping experience is advantageous</li><li>Strong attention to detail with proofreading skills to ensure error-free documents</li><li>Exceptional customer service skills combined with friendly communication style and time management abilities</li></ul>Join us in creating an efficient, welcoming environment where every day brings new opportunities to support our team&rsquo;s success!
