- Manage front desk operations, greeting visitors with professionalism and warmth while maintaining a tidy reception area
- Operate multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette
- Perform data entry tasks with precision using Microsoft Office Suite, Google Workspace, and other office software to update records and maintain databases
- Handle scheduling and calendar management for team members, including setting appointments and coordinating meetings efficiently
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping
- Organize files both physically and digitally through effective filing systems ensuring easy retrieval of documents
- Provide exceptional customer support by addressing inquiries via phone or email, resolving issues promptly, and maintaining positive relationships
- Assist with proofreading documents for accuracy and clarity before distribution or submission
- Support office management tasks such as ordering supplies, maintaining equipment, and overseeing general administrative procedures
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and basic computer literacy
- Excellent typing speed with high accuracy; familiarity with data entry processes
- Experience handling multi-line phone systems and practicing professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Prior experience as a personal assistant is a plus
- Knowledge of bookkeeping experience is advantageous
- Strong attention to detail with proofreading skills to ensure error-free documents
