This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace.Duties<ul><li>Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette</li><li>Operate multi-line phone systems, handle incoming calls, and provide prompt, courteous customer support</li><li>Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications</li><li>Perform data entry tasks with accuracy, including invoicing, record keeping, and updating databases such as QuickBooks</li><li>Assist with calendar management and scheduling appointments for team members or executives</li><li>Support office management activities such as supply ordering, mail distribution, and maintaining office equipment</li><li>Proofread documents and correspondence to ensure clarity and professionalism</li><li>Provide clerical support including photocopying, faxing, and preparing reports or presentations as needed</li><li>Use of ChatGPT and online construction management software will be utilized</li></ul>Requirements<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools</li><li>Familiarity with QuickBooks or bookkeeping software is preferred</li><li>Excellent computer literacy and typing skills for efficient data entry and document management</li><li>Strong customer service skills with the ability to handle phone inquiries professionally and courteously</li><li>Bilingual abilities are a plus to serve diverse client needs effectively</li><li>Experience in medical or dental receptionist roles is advantageous but not required</li><li>Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment</li><li>Personal assistant or administrative experience that showcases multitasking capabilities is highly valued</li></ul>Join us in creating a positive impact through your organizational expertise!
