Administrative Assistant

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems, handle incoming calls, and provide prompt, courteous customer support
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
  • Perform data entry tasks with accuracy, including invoicing, record keeping, and updating databases such as QuickBooks
  • Assist with calendar management and scheduling appointments for team members or executives
  • Support office management activities such as supply ordering, mail distribution, and maintaining office equipment
  • Proofread documents and correspondence to ensure clarity and professionalism
  • Provide clerical support including photocopying, faxing, and preparing reports or presentations as needed
  • Use of ChatGPT and online construction management software will be utilized

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks or bookkeeping software is preferred
  • Excellent computer literacy and typing skills for efficient data entry and document management
  • Strong customer service skills with the ability to handle phone inquiries professionally and courteously
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Experience in medical or dental receptionist roles is advantageous but not required
  • Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment
  • Personal assistant or administrative experience that showcases multitasking capabilities is highly valued
