Role OverviewThe Export Operations Executive will serve as the operational backbone of the company&rsquo;s export department, managing the full documentation lifecycle, logistics coordination, customer correspondence, and banking paperwork for international shipments.The ideal candidate is meticulous, process-driven, comfortable working across forwarding agents, banks, and international buyers, and capable of independently managing export operations with minimal supervision once trained.Key ResponsibilitiesExport Documentation &amp; Customs Compliance<ul><li>Prepare, verify, and submit all export documentation.</li></ul><ul><li>Coordinate with forwarding agents for timely cargo clearance.</li></ul><ul><li>Maintain document checklists per customer and shipment, ensuring completeness before submission.</li></ul>Banking &amp; Payment Documentation<ul><li>Prepare bank collection documents, and telegraphic transfer (TT) paperwork.</li></ul><ul><li>Submit export proceeds documentation to banks and follow up on processing.</li></ul><ul><li>Maintain records of export payment receipts.</li></ul>Logistics Coordination &amp; Shipping<ul><li>Coordinate with freight forwarders and shipping lines for container booking, vessel scheduling, and cargo tracking.</li></ul><ul><li>Process and verify Bills of Lading (B/L).</li></ul><ul><li>Manage logistics partner invoicing, payment reconciliation, and account statements.</li></ul><ul><li>Monitor and flag logistics delays, surcharges, container shortages, and port issues proactively.</li></ul>Customer Communication &amp; Support<ul><li>Draft routine buyer correspondence: order confirmations, shipping updates, price list responses, and documentation transmittals.</li></ul><ul><li>Coordinate export sample, labeling, and dispatch with supporting documentation.</li></ul><ul><li>Respond to customer queries on shipment status, documentation, and delivery timelines.</li></ul><ul><li>Maintain organized customer files with all correspondence and transaction records.</li></ul>Sales Support<ul><li>Draft quotations based on pricing guidelines provided by management.</li></ul><ul><li>Execute lead follow-up sequences per templates and schedules.</li></ul><ul><li>Maintain and update CRM/lead tracking records.</li></ul>Office &amp; Administrative Support<ul><li>Manage office administration.</li></ul><ul><li>Organize and maintain physical and digital export document archives.</li></ul><ul><li>Conduct online research to support production and quality issue resolution as needed.</li></ul>Required Qualifications<ul><li>Bachelor&rsquo;s degree in Commerce, Business Administration, Supply Chain Management, or related field.</li></ul><ul><li>2&ndash;4 years of experience in export operations, preferably in a trading company, manufacturing exporter, or freight forwarding firm.</li></ul><ul><li>Working knowledge of PSW, customs procedures, and Pakistan export regulations.</li></ul><ul><li>Hands-on experience with Bills of Lading and export banking documentation.</li></ul><ul><li>Professional-level written English for international buyer correspondence.</li></ul><ul><li>Proficiency in Microsoft Office (Excel, Word, Outlook).</li></ul>Preferred Qualifications<ul><li>Experience in food-grade or mineral product exports.</li></ul><ul><li>Exposure to European, American, or East Asian buyer requirements and compliance standards.</li></ul><ul><li>Experience with freight rate negotiation and shipping line coordination.</li></ul><ul><li>Basic understanding of CRM tools (HubSpot or similar).</li></ul>Key Competencies<ul><li>Extreme Attention to Detail: Export documentation errors are costly.
