Role Overview
The Export Operations Executive will serve as the operational backbone of the company’s export department, managing the full documentation lifecycle, logistics coordination, customer correspondence, and banking paperwork for international shipments.
The ideal candidate is meticulous, process-driven, comfortable working across forwarding agents, banks, and international buyers, and capable of independently managing export operations with minimal supervision once trained.
Key Responsibilities
Export Documentation & Customs Compliance
- Prepare, verify, and submit all export documentation.
- Coordinate with forwarding agents for timely cargo clearance.
- Maintain document checklists per customer and shipment, ensuring completeness before submission.
Banking & Payment Documentation
- Prepare bank collection documents, and telegraphic transfer (TT) paperwork.
- Submit export proceeds documentation to banks and follow up on processing.
- Maintain records of export payment receipts.
Logistics Coordination & Shipping
- Coordinate with freight forwarders and shipping lines for container booking, vessel scheduling, and cargo tracking.
- Process and verify Bills of Lading (B/L).
- Manage logistics partner invoicing, payment reconciliation, and account statements.
- Monitor and flag logistics delays, surcharges, container shortages, and port issues proactively.
Customer Communication & Support
- Draft routine buyer correspondence: order confirmations, shipping updates, price list responses, and documentation transmittals.
- Coordinate export sample, labeling, and dispatch with supporting documentation.
- Respond to customer queries on shipment status, documentation, and delivery timelines.
- Maintain organized customer files with all correspondence and transaction records.
Sales Support
- Draft quotations based on pricing guidelines provided by management.
- Execute lead follow-up sequences per templates and schedules.
- Maintain and update CRM/lead tracking records.
Office & Administrative Support
- Manage office administration.
- Organize and maintain physical and digital export document archives.
- Conduct online research to support production and quality issue resolution as needed.
Required Qualifications
- Bachelor’s degree in Commerce, Business Administration, Supply Chain Management, or related field.
- 2–4 years of experience in export operations, preferably in a trading company, manufacturing exporter, or freight forwarding firm.
- Working knowledge of PSW, customs procedures, and Pakistan export regulations.
- Hands-on experience with Bills of Lading and export banking documentation.
- Professional-level written English for international buyer correspondence.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
Preferred Qualifications
- Experience in food-grade or mineral product exports.
- Exposure to European, American, or East Asian buyer requirements and compliance standards.
- Experience with freight rate negotiation and shipping line coordination.
- Basic understanding of CRM tools (HubSpot or similar).
