The ideal candidate will have strong customer service skills, administrative experience, and the ability to manage multiple tasks in a fast‑paced environment. This role is essential to maintaining efficient workflow, accurate documentation, and professional interactions with clients, vendors, and team members.</p><p><b>
Key Responsibilities</b></p><ul><li><p>
Handle incoming phone calls and greet walk‑in visitors; direct inquiries to the appropriate personnel.</p></li><li><div>
Provide high‑quality customer service and maintain a professional office environment.</div></li><li><div>
Develop and maintain an understanding of company services and project processes.</div></li><li><div>
Assist with administrative tasks including filing, scanning, mail distribution, and data entry.</div></li><li><div>
Support bookkeeping functions such as processing receipts and assisting with Accounts Payable.</div></li><li><div>
Act as liaison with subcontractors by collecting W‑9s, insurance certificates, and workers&rsquo; compensation documentation.</div></li><li><div>
Issues subcontracts to Vendors</div></li><li><div>
Provide sales support, including updating leads in Salesforce and assisting with customer notifications.</div></li><li><div>
Prepare outbound communications.</div></li><li><div>
Maintain organized digital and physical records in accordance with company procedures.</div></li><li><div>
Assist with general office duties and special projects as assigned.</div></li><li><div>
Follow all company policies, safety guidelines, and office protocols.</div></li><li><p>
Perform other related duties as assigned.</p></li></ul><div><b>
Required Qualifications</b></div><ul><li><p>
2+ years of administrative or office support experience.</p></li><li><div>
Strong customer service and communication skills.</div></li><li><div>
Proficiency with computers and common office software (Microsoft Office, email platforms, etc.).</div></li><li><div>
Ability to multi‑task and manage a variety of responsibilities with accuracy. Strong attention to detail and organizational skills.</div></li><li><div>
Ability to maintain confidentiality and handle sensitive information.</div></li><li><div>
Valid driver&rsquo;s license.</div></li><li><p>
Ability to lift up to 25 lbs and assist with basic office tasks as needed.</p></li></ul><div><b>
Preferred Qualifications</b></div><ul><li><p>
Experience in construction, contracting, or related industries.</p></li><li><div>
Familiarity with Salesforce or other CRM systems.</div></li><li><div>
Basic bookkeeping or accounts payable experience.</div></li><li><p>
Knowledge of office equipment and administrative best practices.</p></li></ul><div><b>
Physical Requirements</b></div><ul><li><p>
Prolonged periods of sitting, typing, and working at a computer.</p></li><li><div>
Occasional standing, walking, bending, or lifting up to 25 pounds.</div></li><li><p>
Ability to work in a standard office environment.</p></li></ul><div>
