Join us to contribute to a professional setting where your organizational talents and enthusiasm will make a meaningful impact every day!Responsibilities<ul><li>Manage and maintain the executive&rsquo;s calendar, scheduling appointments, meetings, and business travel arrangements with precision and foresight</li><li>Coordinate client meetings, prepare agendas, and handle follow-up communications to ensure seamless interactions</li><li>Handle confidential information with discretion, maintaining privacy and security at all times</li><li>Assist with bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking</li><li>Organize events such as client seminars or team gatherings, including venue booking, logistics planning, and material preparation</li><li>Prepare professional correspondence, reports, and presentations utilizing Microsoft Office Suite and productivity software</li><li>Support internal communication efforts by managing multi-line phone systems, video conferencing software, and email correspondence</li></ul>Skills<ul><li>Proven experience as an executive assistant or personal assistant within a professional or financial services environment</li><li>Strong organizational skills with the ability to prioritize tasks efficiently and manage multiple projects simultaneously</li><li>Excellent written and verbal communication skills with proper phone etiquette and proofreading abilities</li><li>Technical proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, QuickBooks, DocuSign, and video conferencing tools</li><li>Expertise in event planning, project coordination, office management, and data entry processes</li><li>Ability to handle confidential information discreetly while demonstrating professionalism in all interactions</li><li>Experience with calendar management tools such as Microsoft Outlook Calendar and multi-line phone systems</li><li>Exceptional customer service skills combined with strong collaboration abilities with C-suite executives and team members</li></ul>Join our team to be an essential part of a vibrant office environment where your administrative expertise will support our financial planning professionals in delivering exceptional service.
