Executive Assistant for CFP (Certified Financial Planner)

We are seeking a highly organized and proactive Executive Assistant to support a busy financial planner within a growing financial planning practice in our Amarillo Texas HQ. Responsibilities

  • Manage and maintain the executive’s calendar, scheduling appointments, meetings, and business travel arrangements with precision and foresight
  • Coordinate client meetings, prepare agendas, and handle follow-up communications to ensure seamless interactions
  • Handle confidential information with discretion, maintaining privacy and security at all times
  • Assist with bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking
  • Organize events such as client seminars or team gatherings, including venue booking, logistics planning, and material preparation
  • Prepare professional correspondence, reports, and presentations utilizing Microsoft Office Suite and productivity software
  • Support internal communication efforts by managing multi-line phone systems, video conferencing software, and email correspondence

Skills

  • Proven experience as an executive assistant or personal assistant within a professional or financial services environment
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage multiple projects simultaneously
  • Excellent written and verbal communication skills with proper phone etiquette and proofreading abilities
  • Technical proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, QuickBooks, DocuSign, and video conferencing tools
  • Expertise in event planning, project coordination, office management, and data entry processes
  • Ability to handle confidential information discreetly while demonstrating professionalism in all interactions
  • Experience with calendar management tools such as Microsoft Outlook Calendar and multi-line phone systems
  • Exceptional customer service skills combined with strong collaboration abilities with C-suite executives and team members

Pay: $75,000.00 - $155,000.00 per year
