Executive Personal Assistant (Remote with Travel Flexibility) Position OverviewWe are seeking a highly organized, proactive, and detail-oriented Executive Personal Assistant to support a dynamic business executive operating primarily within the cannabis industry, with additional involvement in the food and hospitality sector.This role requires a high level of discretion, adaptability, and initiative. The ideal candidate thrives in a fast-paced entrepreneurial environment, is comfortable managing both business and personal responsibilities, and can anticipate needs before they arise.While this is primarily a remote position, occasional travel may be required to support in-person meetings, business operations, or special projects.Key Responsibilities<ul><li>Calendar &amp; Schedule Management</li><li>Coordinate and manage daily, weekly, and long-term schedules</li><li>Prioritize meetings, calls, and deadlines across multiple business ventures</li><li>Anticipate scheduling conflicts and proactively resolve them</li><li>Communication Management</li><li>Draft, send, and respond to emails on behalf of the executive</li><li>Serve as a point of contact for external communications</li><li>Screen and manage phone calls, messages, and inquiries</li><li>Administrative Support</li><li>Handle a wide range of administrative and clerical tasks</li><li>Organize digital files, documents, and records</li><li>Assist with data entry, document preparation, and light reporting</li><li>Meeting Coordination &amp; Support</li><li>Schedule and coordinate meetings, calls, and appointments</li><li>Prepare agendas and materials as needed</li><li>Take accurate meeting minutes and track follow-ups/action items</li><li>Task &amp; Project Management</li><li>Manage and track both personal and business-related tasks</li><li>Assist in executing projects across multiple companies and industries</li><li>Ensure deadlines are met and priorities are maintained</li><li>Travel &amp; Logistics</li><li>Be available for occasional travel to assist on-site when needed</li><li>Confidentiality &amp; Discretion</li><li>Handle sensitive business and personal information with the highest level of confidentiality</li><li>Exercise sound judgment in all communications and decision-making</li></ul>Qualifications<ul><li>Proven experience as an Executive Assistant, Personal Assistant, or similar role</li><li>Exceptional organizational and time-management skills</li><li>Strong written and verbal communication abilities</li><li>High level of professionalism and discretion</li><li>Ability to multitask and prioritize in a fast-paced environment</li><li>Tech-savvy (Google Workspace, Microsoft Office, scheduling tools, etc.)</li><li>Self-starter with the ability to work independently in a remote setting</li><li>Willingness and ability to travel occasionally</li></ul>Preferred Experience<ul><li>Experience working with executives in cannabis, food, hospitality, or startup environments</li><li>Familiarity with regulatory or compliance-heavy industries</li><li>Experience managing multiple business entities or projects simultaneously</li></ul>Work Environment<ul><li>Remote-first role with flexible working hours based on executive needs</li><li>Occasional travel may be required</li><li>Fast-paced, entrepreneurial environment with exposure to multiple industries</li></ul>What Success Looks Like in This Role<ul><li>The executive&rsquo;s schedule runs seamlessly and efficiently</li><li>Communications are handled promptly and professionally</li><li>Tasks and projects are proactively managed without constant oversight</li><li>The assistant becomes a trusted extension of the executive</li></ul>Pay: $14.00 - $18.00 per hourExpected hours: 20.0 &ndash; 40.0 per weekEducation:<ul><li>Associate (Preferred)</li></ul>Ability to Commute:<ul><li>Kingsport, TN 37660 (Preferred)</li></ul>Work Location: Hybrid remote in Kingsport, TN 37660
