The Dispatcher will be responsible for coordinating and scheduling maintenance and service requests for our properties, ensuring timely, cost-effective, and efficient resolution of tenant issues. This role requires excellent communication skills, strong time management, and a customer-focused mindset to maintain positive relationships with owners, tenants, vendors, and internal teams while optimizing operational efficiency.Key Responsibilities<ul><li>Receive and Process Requests: Handle incoming maintenance and service requests from tenants via phone, email, or property management software.</li><li>Schedule and Assign Tasks: Coordinate with tenants, maintenance technicians, vendors, and contractors to schedule repairs and services, ensuring optimal response times.</li><li>Prioritize Requests: Assess the urgency of service requests and prioritize them based on severity and tenant needs.</li><li>Cost and Time Efficiency: Ensure maintenance work orders are addressed in a cost-effective and timely manner, keeping costs within acceptable parameters.</li><li>Unit Turnaround: Ensure that the turnaround time on vacated units is minimized through effective time management and asset utilization.</li><li>Performance Monitoring: Address issues with job times and performance, keep our rescheduled tasks to a minimum and only when necessary</li><li>Communicate Effectively: Provide clear and timely updates to tenants, property managers, and vendors regarding the status of service requests.</li><li>Maintain Records: Log all service requests, work orders, and communications in the property management system, ensuring accurate documentation.</li><li>Monitor Progress: Follow up on open work orders to ensure completion and tenant satisfaction.</li><li>Vendor Coordination: Maintain relationships with vendors and contractors, ensuring quality service and adherence to company standards.</li><li>Task Expediting: Expedite work orders and miscellaneous tasks through delegation and proactive schedule management.</li><li>Billing Assistance: Assist with the closing of work orders to ensure accurate and timely invoicing.</li><li>Support Team: Collaborate with property managers and maintenance teams to streamline operations and improve service delivery.</li></ul>Qualifications<ul><li>Education: High school diploma or equivalent; associate&rsquo;s or bachelor&rsquo;s degree in business, administration, or a related field is a plus.</li><li>Experience: 1-2 years of experience in dispatching, customer service, or property management preferred.</li><li>Skills:</li><li>Excellent verbal and written communication skills.</li><li>Strong organizational, multitasking, and time management abilities.</li><li>Proficiency in property management software (e.g., Service Fusion, AppFolio) or similar systems.</li><li>Basic knowledge of maintenance and repair processes in real estate is a plus.</li><li>Ability to remain calm and professional under pressure.</li><li>Dependable and timely.</li><li>Attributes:</li><li>Customer-focused with a problem-solving mindset.</li><li>Detail-oriented and able to manage multiple priorities.</li><li>Team player with the ability to work independently.</li><li>Availability: Willingness to work flexible hours, including occasional evenings.
