Job Summary
We are seeking a highly organized and detail-oriented Maintenance Dispatcher to join our team. The Dispatcher will be responsible for coordinating and scheduling maintenance and service requests for our properties, ensuring timely, cost-effective, and efficient resolution of tenant issues. This role requires excellent communication skills, strong time management, and a customer-focused mindset to maintain positive relationships with owners, tenants, vendors, and internal teams while optimizing operational efficiency.
Key Responsibilities
- Receive and Process Requests: Handle incoming maintenance and service requests from tenants via phone, email, or property management software.
- Schedule and Assign Tasks: Coordinate with tenants, maintenance technicians, vendors, and contractors to schedule repairs and services, ensuring optimal response times.
- Prioritize Requests: Assess the urgency of service requests and prioritize them based on severity and tenant needs.
- Cost and Time Efficiency: Ensure maintenance work orders are addressed in a cost-effective and timely manner, keeping costs within acceptable parameters.
- Unit Turnaround: Ensure that the turnaround time on vacated units is minimized through effective time management and asset utilization.
- Performance Monitoring: Address issues with job times and performance, keep our rescheduled tasks to a minimum and only when necessary
- Communicate Effectively: Provide clear and timely updates to tenants, property managers, and vendors regarding the status of service requests.
- Maintain Records: Log all service requests, work orders, and communications in the property management system, ensuring accurate documentation.
- Monitor Progress: Follow up on open work orders to ensure completion and tenant satisfaction.
- Vendor Coordination: Maintain relationships with vendors and contractors, ensuring quality service and adherence to company standards.
- Task Expediting: Expedite work orders and miscellaneous tasks through delegation and proactive schedule management.
- Billing Assistance: Assist with the closing of work orders to ensure accurate and timely invoicing.
- Support Team: Collaborate with property managers and maintenance teams to streamline operations and improve service delivery.
Qualifications
- Education: High school diploma or equivalent; associate’s or bachelor’s degree in business, administration, or a related field is a plus.
- Experience: 1-2 years of experience in dispatching, customer service, or property management preferred.
- Skills:
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time management abilities.
- Proficiency in property management software (e.g., Service Fusion, AppFolio) or similar systems.
- Basic knowledge of maintenance and repair processes in real estate is a plus.
- Ability to remain calm and professional under pressure.
- Dependable and timely.

- Availability: Willingness to work flexible hours, including occasional evenings. Schedule ranges from 6:30am-5:30pm, overlapped between 3 dispatchers
