Operations Manager / Executive AssistantAbout the RoleWe are seeking a highly organized, proactive, and detail-oriented Operations Manager / Executive Assistant to support the day-to-day operations of multiple healthcare-related companies. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and understands the importance of compliance, organization, and operational efficiency in healthcare businesses.The ideal candidate will act as a key operational partner to leadership, helping ensure company operations run smoothly while maintaining compliance, administrative oversight, and financial coordination across several entities.This is a hybrid position, and candidates must be located within the Greater Los Angeles area with the ability to work in-office a minimum of 1&ndash;3 days per week, depending on operational needs and priorities.Key ResponsibilitiesOperational &amp; Administrative Support<ul><li>Manage and coordinate daily operational workflows across multiple healthcare companies</li><li>Serve as a central point of communication between leadership, staff, vendors, and external partners</li><li>Assist executives with scheduling, meeting coordination, travel arrangements, and task follow-up</li><li>Maintain organized digital records, contracts, licenses, and company documentation</li><li>Help streamline office systems, procedures, and internal processes for efficiency</li></ul>Compliance &amp; Healthcare Administration<ul><li>Ensure all company licenses, certifications, insurance policies, and registrations remain active and up to date</li><li>Monitor and maintain healthcare compliance requirements, HR documentation, and regulatory deadlines</li><li>Coordinate with insurance providers, credentialing entities, legal teams, and HR vendors</li><li>Assist with audits, policy tracking, compliance reporting, and operational documentation</li><li>Support onboarding and offboarding processes for employees and contractors</li></ul>Human Resources Support<ul><li>Help maintain employee records, onboarding paperwork, compliance training, and HR files</li><li>Coordinate employee benefits information and ensure HR systems remain current</li><li>Track staff certifications, renewals, and required healthcare documentation</li><li>Support recruiting coordination, interview scheduling, and employee communication</li></ul>Financial &amp; Revenue Cycle Support<ul><li>Assist with expense tracking, invoice management, vendor payments, and operational budgeting</li><li>Help monitor accounts receivable, claims follow-up, and revenue cycle management processes</li><li>Coordinate with billing teams to ensure timely collections and accurate reporting</li><li>Support financial organization and reporting for leadership review</li></ul>Project &amp; Executive Support<ul><li>Help execute special projects and operational initiatives</li><li>Follow up on outstanding action items and ensure deadlines are met</li><li>Prepare reports, spreadsheets, presentations, and operational summaries</li><li>Anticipate leadership needs and proactively solve problems before they arise</li></ul>Qualifications<ul><li>Previous experience in operations management, executive assistance, healthcare administration, or office management</li><li>Strong understanding of healthcare operations and compliance preferred</li><li>Experience supporting multiple companies, departments, or executives is a plus</li><li>Excellent organizational skills with strong attention to detail</li><li>Ability to prioritize tasks and manage competing deadlines</li><li>Strong written and verbal communication skills</li><li>Proficiency with Google Workspace, Microsoft Office, and project management tools</li><li>Experience with healthcare billing, credentialing, HR systems, or revenue cycle management preferred</li><li>Must be located within the Greater Los Angeles area and able to reliably commute for in-office work</li></ul>Ideal Candidate Traits<ul><li>Highly dependable and self-motivated</li><li>Problem-solver with a proactive mindset</li><li>Professional, discreet, and trustworthy</li><li>Comfortable working independently while managing multiple moving parts</li><li>Able to adapt quickly in a growing and evolving organization</li><li>Strong follow-through and accountability</li></ul>Compensation &amp; Benefits<ul><li>Competitive compensation based on experience</li><li>Opportunity for growth within expanding healthcare organizations</li><li>Hybrid work environment with operational flexibility</li><li>Collaborative leadership team</li><li>Paid time off and additional benefits may be available based on role structure</li></ul>*Pay: $30.00 - $40.00 per hourBenefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Health insurance</li><li>Vision insurance</li></ul>Work Location: Hybrid remote in Culver City, CA 90230
